EMIS lab reporting: onboarding guide

This guide covers everything you need to set up and go live with EMIS lab reporting.
1. Start onboarding
Once you've signed the Software Licensing Agreement (SLA), submitted your EMIS login details and consent forms via the onboarding portal, you'll receive an email outlining next steps. Allow at least 1 week between submitting your onboarding information and your go-live date.
Create a new EMIS account for the bot: name it 'GPA' or 'gpautomate', assign 'yes' for Appointment Session Holder and Consulter, and assign Practice Manager access or Global User access (not Clinical Practitioner access). Practice Manager access to the RBAC role is required, without it we cannot configure your practice and your go-live date may be affected.
2. Submit consent forms
We recommend your clinical lead or GP completes the consent forms, as these parameters require clinical input. Normal consent covers lab reporting for normal reports with reference ranges. Enhanced/abnormal consent covers safety features such as Hb drop, CKD alert, eGFR drop, poor diabetic control and cholesterol automation. Your go-live date is only booked once we receive your completed onboarding forms.
3. Prepare to go live
Prepare your practice and patients by communicating the upcoming change, book an onboarding call (drop-in sessions run Thursday and Friday each week), review your Hero Health templates, and read the FAQs with your practice.
4. Go live
Two days before go-live we run a test run to check the automation performs as expected and identify any final adjustments. On go-live day you'll receive an email confirming your automation is live along with a link to your performance dashboard. Nothing is required from your side.
5. Post go-live
It may take a few days for the automation to adapt to your systems, so please don't expect 100% success immediately. We monitor performance round the clock; if a run fails we investigate and re-run where possible, and will contact you directly if there's a significant issue. On go-live day you'll receive an invite to your Retool performance dashboard, with weekly audit data for the first 4 weeks.
