What do I do when report is older than automation window?
Last updated: August 5, 2026
Understanding the automation window
By default, GP Automate is configured to check results within the last 5 days. This is a safety feature designed to:
Prevent filing of historic results
Avoid sending text messages to patients about old reports that may have already been addressed
Maintain system stability and processing speed
How the automation window works
GP Automate uses an intelligent lookback system:
The automation checks for the most recent successful run
It extends the search window to cover the period since that last successful run
This allows for shorter standard windows (typically 2-5 days) while ensuring no reports are missed between runs
What should I do if I see this message?
Option 1: wait for the next run (recommended)
In most cases, no immediate action is required
If the report is within the extended lookback period, it will be picked up on the next scheduled run
Avoid manually viewing or processing the report if possible, as this can prevent automation from handling it
Option 2: manual processing
If the report is clinically urgent or time-sensitive, follow your usual clinical escalation process
If the report is genuinely old (more than 5 days) and needs addressing, process it manually according to your practice protocols
Option 3: contact support
If you have multiple reports showing this message consistently or if you believe reports within the expected window are being skipped contact support@gpautomate.com with specific examples (EMIS numbers and dates).
